The Contractor Management portal allows efficient and secure data collection, data use and data reporting for contractor management, induction tracking, defect management, work safety, work planned, OHS compliance, environmental obligations and risk management and mitigation.

SYSTEM RULES

With any web-based system the rules have to be developed to suit the business objectives.

1. The first rule is to dictate who the users are. The users could be already known and supplied (in excel or CSV format) to be uploaded to the system or they could be required to register and then be approved (by admin) before system use. Users could be individuals or organisations and can be categorised as required.

2. The secure online form would then capture the data. The fields for the form(s) would be predetermined, where possible drop-down options would be used to maximise the quality of data collected. If required the user could also upload images or files as part of the form. There could be one, tow or multiple forms within the same system. The form(s) displayed could also be dependent on the category of the user who has logged in.

3. Admin access would be through a secure portal requiring a username & password. Through the admin section the users can be managed (added, edited or deleted) and the data can be viewed and downloaded as required.

All of the above would be customised to an organisations exact business requirements during the initial scoping phase. As with all digital systems, reminder and prompt emails can be sent to users and admin as required to ensure the data is completed and updated in a timely manner.

The system is web based and so can be accessed by any internet connected device (smartphone, tablet, pad, laptop or computer).

CASE STUDY: Networks Alliance

FiNAO have recently developed a Contractor Management System for Networks Alliance (NWA). The system allows companies to register themselves to work with NWA. After a company is registered, NWA is informed via email and can then approve (or reject) the registration. The company then receives a notification email with a unique username and password so they can access the portal to add their employees and their plant & equipment. 

As the individual companies employees and plant & equipment are registered NWA Admin can approve or comment on the registrations (ie. add induction dates, qualifications, comments etc). Documentation for companies, employees and plant & equipment (insurances, certifications etc) can be uploaded with the appropriate expiry dates (email warnings can then be sent prior to expiry).

Once registered and approved, company employees and NWA staff can then go online (with unique username and passwords) and complete the various OHS, risk and compliance forms.  Each form has customised fields and allows the upload of certifcation scans and site pictures.

NWA Admin has a dedicated interface whereby companies, employees and plant & equipment can be managed (approved, edited and deleted) and the data collected through the forms can be viewed and downloaded as required.
